We are seeking an experienced Administrative Coordinator to join our team. You’ll be responsible for keeping our office running smoothly, and ensuring our team are happy, productive and have the tools in place to do their jobs well.

You will have a track record of providing effective coordination and administrative support as well as proven experience of developing the systems and processes that underpin such tasks.

Key Responsibilities

  • Provide secretarial support across the team; undertake tasks including data entry, collating and circulating information, organising meetings, procuring office supplies
  • Reception duties and call handling; acting as the first point of contact for enquiries
  • Responsible for developing and maintaining record keeping systems; overseeing that records are kept up to date and accurate
  • Produce monitoring reports pertaining to the performance of the activities we undertake
  • Carry out bookkeeping and create finance reports
  • Coordinate recruitment processes and maintain HR records

Desirable Experience

  • Demonstrable experience working across a range of administrative functions (3+ years)
  • Experience of the development and administration of protocols and office systems
  • Knowledge of internal processes for reporting of information
  • Familiar with the practical aspects of managing office facilities

Required Skills

  • Outstanding administrative, organisational and time management skills, with the ability to manage competing priorities simultaneously
  • Excellent communication skills and the ability to work effectively with a wide range of internal and external stakeholders
  • Strong computer literacy across a wide range of software including all key Microsoft Office and Google Workspace (formerly G-Suite) applications
  • A proactive problem solver, able to work both independently and as part of the team
  • Able to complete work with a high degree of accuracy and attention to detail
  • Experience with Bookkeeping tasks (we use QuickBooks)

Employment Terms

  • 20 hours per week, 09:30 – 14:00 Mon-Fri
  • £23,000 pro rata
  • Any offer of employment will be subject to an Enhanced DBS disclosure
